Job Description Summary
The Athletics Department Administrator is responsible for managing departmental projects related to Athletics and Recreation that are administrative in design; managing relationships with a variety of campus services for the betterment of our student-athletes; and providing general administrative support acting as office manager and key support staff for the Department of Athletics and Recreation.
Essential Responsibilities
• Administers and organizes special projects and events for the Director and department which include but are not limited to: NCAA compliance; championship events ticket management; concessions or merchandise; community service events or benefits; and promotional events.
• Manages relationship with Sodexho in order to maintain a successful partnership. Specifically responsible for managing on-campus meals for 22 varsity teams; managing Sodexho concerns and working to resolve any issues; and negotiating early openings of the dining hall by analyzing costs and making budget conscious decisions.
• Manages per diem request for 22 varsity teams during away from home contests, practices, and during vacation periods. This includes, but is not limited to: making financially responsible decisions on how much money to allow to each team per trip depending on where they are traveling and for how long; creating financial breakdowns of meals per day, per player for each team; and reconciling per diem following team trips.
• Manages relationship with the Office of Residential Life which includes communicating with coaches about who will be living on campus during the vacation periods so that residential life has this information; negotiating move in dates during vacations; and coordinating with each individual to ensure they have completed the proper forms required to live on campus during vacation periods.
• Assist with the execution of special events including, but not limited to, the Senior Athlete Banquet, President’s Cup, Alumni BBQ and Hall of Fame.
• Manages relationship with Alumni Hall, including, but not limited to the tracking of athletics: gift giving, stewardship, event attendance, etc.
• Develops and oversees new staff orientation program.
• Assists with team travel, specifically communication with coaches and staff on departure times, means of travel, etc.
• Responsible for the maintenance and updating of awards, trophies, plaques, and banners.
• Responsible for training the student office staff and supervise the daily workload of the student staff, including but not limited to delegation of: sorting mail; answering telephones; ordering office supplies; contacting campus representatives for computer, telephone or photocopier service; ordering food and beverage service for meetings or events; data entry.
• Acts as office manager and key support staff for Athletics. Serves as Athletics central communication coordinator, maintaining calendars and travel schedules as needed.
• Assumes additional responsibilities as required.
Minimum Experience
Minimum Level of Education Required Bachelor’s Degree

Additional Required Skills & Abilities
• Excellent typing, editing, and proofreading skills
• Strong organizational, interpersonal, and communication skills, and must be able to maintain a high degree of confidentiality at all times
• Thorough knowledge of MS Office (Word, Excel, Access, SharePoint, Power Point, etc.) is necessary
• Ability to effectively interface with alumni, students, faculty, staff, and visitors
• Strong supervisory skills
• Ability to make decisions involving office management and student athlete housing/meal arrangements during vacation periods and off-campus travel. |
