The Administrative Secretary maintains the office communications plan, oversees electronic work flow of graduate applications, and provides clerical support to the Assistant Vice-President and Assistant Directors.
Initiates and prepares direct mail correspondence including mail merges, working with the copy center, and overseeing production to ensure a high quality outcome, within the Hobson's technology system.
Enters inquiry and application information into BANNER, Hobson's Connect and Apply Yourself systems
Oversees scanning of files and document flow using Nolij technology system
Communicates, both via email and phone, with applicants concerning application requirements and completeness
Assembles electronic applicant files for faculty review and admission decision
Provide support for department staff including answering and routing phone calls, opening and distributing mail, creating correspondence, monitoring e-mail accounts, coordinating large print jobs, and maintaining files.
Works with other administrative secretaries to ensure coverage of reception area during peak times
At least 2 years of office administrative/secretarial experience in a high volume customer service environment.
Intermediate level computer skills using a Windows based operating system, specifically MS Word, Excel, Outlook and Internet
Knowledge of Banner, Hobson’s EMT Connect, Apply Yourself and social media preferred
Excellent verbal and written communication skills.
Ability to interact and relate to various constituencies from diverse backgrounds
Ability to work independently and multitask
Strong organizational and time management skills, with accuracy and attention to detail
Work Schedule: Full time position, Monday-Friday 8:00am-4:30pm
Rate of Pay: Minimum $13.15/hour, depending upon experience
