Job Posting Title Director of Housing & Residence Life Organization Name Housing Division Daytona Beach Campus Brief Description The Director of Housing & Residence Life serves as the chief housing officer for a comprehensive housing program serving approximately 2,030 resident students. The Director of Housing & Residence Life directly supervises the Associate Director of Administration and Operations, the Associate Director of Residence Life, the Conference Coordinator, and the Budget Coordinator with indirect supervision of ten additional full-time staff and approximately 100 student staff. The Director is responsible for planning, directing, and overseeing the implementation of all aspects of the housing program including budget management, personnel, student assignments and record-keeping, facility maintenance and renovation, new construction, residence life, and developmental educational programming. The Director is responsible for creating and maintaining a safe and positive living environment for students in the ERAU-managed residential facilities through proper maintenance, appropriate staffing, and developmental program offerings and services to meet the needs of residential students. The Director serves as the budget manager for the departmental auxiliary expense and revenue budgets. The Director is also responsible for ensuring that housing policies and procedures are appropriate and well communicated. The Director reports directly to the Vice President of Student Affairs. Detailed Description Budget Management The Director of Housing & Residence Life serves as the budget manager for the department's auxiliary budget (FY12 $11.1 million) which includes multiple revenue and expenditure accounts Provide direct supervision of the Budget Coordinator and indirect supervision for the student Budget Assistant Monitor the budget performance related to all functional areas under supervision, including building maintenance supplies, equipment, contracted services, utilities, programs costs, special building projects, etc. Administer all contracts for external housing services, such as cleaning, carpet care, pest control, laundry equipment, garbage collection, and special equipment servicing Prepare the annual budget, including revenue projections and expense projections, for submission to the university budget office Residence Life The Director of Housing and Residence Life works collaboratively with the residence staff to monitor the quality of the student residential experience with regard to developmental issues and educational support programming Provide direct supervision for the Associate Director of Residence Life with indirect supervision of two Assistant Directors, six Resident Directors, approximately 60 Resident Advisors, 22 Conference Assistants, and several student Housing Services Assistants Develop and implement strategies for integrating the "Living-Learning" philosophy into all aspects of student intervention and residential services Monitor the recruitment, selection, training, supervision, and evaluation processes for the Resident Director and Resident Advisor staff Maintain open lines of communication and actively promote positive working relationship with the Embry-Riddle Resident Student Association, ERRSA Oversee the educational, adjudication process of student judicial cases. Ensure appropriate record-keeping consistent with the Family Educational Rights and Privacy Act, FERPA Provide oversight and guidance for summer conference program to include effective marketing, staff selection/training/supervision, quality customer service, and budget management Oversee the annual assessment process for the Department of Housing & Residence Life ensuring that critical elements of the residence life program and residence hall environment are measured and results are used to make improvements Work closely with the Dean of Students and Student Affairs division to set quality standards for the ERAU student housing program and the total residential environment, with major emphasis on high quality services, a healthy residential atmosphere and a comprehensive array of academically supportive and developmentally positive programs and activities Housing Administration The Director of Housing & Residence Life oversees all processes, policies and procedures for student housing applications, assignments, room changes, record keeping, etc. for approximately 2,030 resident students Provide direct supervision for the Associate Director of Administration and Operations with indirect supervision of the Administrative Services Manager, the Administrative Services Coordinator, the Housing Services Coordinator and several student Administrative Assistants Ensure that the front desk operation provides accurate information and/or makes appropriate referrals in response to phone calls, email messages and personal visits from students, parents, vendors, and/or other constituents Review and revise the annual housing application/contract. Coordinate the distribution of the housing application/contract to incoming first-year students with the Admissions Office. Coordinate the distribution of housing contracts to continuing students Monitor procedures for receiving and processing housing application and housing deposits, in compliance with university accounting standards Establish criteria and develop appropriate policies for assigning students to the ERAU-managed housing system which includes establishing priorities for various groups of students (i.e., required first-year students, guaranteed sophomores, affinity groups, etc.) Manage the housing check-in process for each of four academic terms annually. Oversee the housing check-out process for each of four academic terms, working closely with the residence life and maintenance staff to communicate expectations to students and coordinate facility needs Monitor departmental pages within ERAU On-Line and on the University website. Maintain current information and update as needed to coincide with university standards Monitor the operation of the central office, including inventory of supplies, environmental aesthetics, and ensure a safe and comfortable work environment Building Maintenance, Renovation and Construction Provide direct supervision for the Associate Director of Administration and Operations with indirect supervision of the Maintenance Supervisor, the HVAC Specialist, four Maintenance Technicians and several student Maintenance Assistants Establish and enforce standards, guidelines and policies for daily building maintenance with regard to response time, priority of needs, effective use of personnel and optimal resource utilization In conjunction with the maintenance staff, develop, schedule and coordinate short-term and long-term plans for building preventative maintenance, renovations and refurbishment projects Oversee the process of preparing the residence halls for occupancy each academic term to include scheduling and coordination of cleaning and maintenance requirements Develop an annual budget that reflects resource requirements for all maintenance-related areas including supplies, equipment, personnel and externally contracted projects Represent the Department of Housing & Residence Life on any university projects and committees for planning of future residence hall facilities Miscellaneous Serve on the campus Emergency Operations Team and respond to emergencies as appropriate. Responsible for maintaining emergency procedures and protocols for all residential facilities Participate in the University's crisis management processes. Respond to after-hours emergencies as needed, providing guidance to on-site staff in compliance with University policies and procedures Represent the Department of Housing & Residence Life in various aspects, on university committees, special projects, etc. Serve on rotating on-call administration Job Requirements Master's Degree is required and at least 10 years of Director level experience. Ideal candidate will also have a solid blend of residential life experience AND budget and construction, renovation and capital improvement oversight experience. Strong communication and leadership skills are also required and in-depth knowledge of student life and programming.
