MAJOR FUNCTION: The Executive Assistant I is housed within Workforce Development. The Executive Assistant I reports directly to the Vice President for Workforce Development. The Executive Assistant serves as a member of the Vice President’s support team. This includes: providing administrative support for the Vice President and division; assisting persons who have appointments with the vice president; ensuring timeliness of appointments and projects; as well as completing special projects for the vice president. The Executive Assistant performs administrative tasks and meeting support, assists with maintaining and monitoring the division’s staff portal and public website, and maintains time and attendance for all division personnel. The Executive Assistant also serves as the Division’s point of contact for various College entities as well as supervises the front desk staff and other customer support personnel.
MINIMUM TRAINING/EXPERIENCE: Bachelor’s degree from an accredited college or university and two (2) years of responsible administrative work in an educational institution or in a comparable professional environment. Experience beyond two years working as an executive level assistant in an educational or corporate enterprise may be substituted for up to two years of the educational requirement.

Includes Mainframe and web environments, Microsoft Office suite, SharePoint Portals, social media, and other current technologies used in an educational environment. Knowledge of administrative principles and practices. Knowledge of budget management. Skilled in word processing, data base management, and spreadsheet software. Effective oral and written communication skills. Human relations and interpersonal communication skills. Ability to work independently or as part of a team. Ability to handle multiple priorities and tasks, which are complex and broad in nature. Excellent time management skills. Ability to prepare correspondence and administrative reports. Ability to work with diverse people and in diverse situations at various organizational levels. Ability to plan, organize, and coordinate work assignments. Ability to utilize problem-solving techniques. Ability to critically assess situations and make sound judgments. Ability to represent the division and the college in a positive, professional manner.
