General Description of Position: The Manager of Campus Scheduling is responsible for all conference, programming and educational programs connected with continuing education and facilities reservation management for the entire campus; managing summer activities held on the campus; convening and leading the "Roundtable" group; and operations for contracted events, programs, and events as assigned. Manages the campus-wide reservation system for the college (with a few exceptions) in collaboration with ITS, Student Affairs, Campus Safety, Physical Plant and system users including students, faculty, and staff. Additionally serves as a resource and provides counsel to campus constituents to facilitate decisions in the implementation of events. Provides orientation/training programs on room selection/reservation process and event planning/implementation for campus community members. Acts as liaison with Physical Plant, ARAMARK, Security, Athletics, Student Affairs, Academic Affairs and departments, College Relations departments, Development, and the President's Office on matters pertaining to room reservations and the implementation of events. Provides scheduling and facilities management and coordination for all aspects of campus summer programs. Serves as the Rhodes contact for the representatives of "community partners" as the College hosts their summer programs and as the contact for staff, faculty, and students in implementing campus programs. In the management of summer programs, approves all activities, determines which space(s) is to be utilized, and makes adjustments to reschedule/relocate or cancel due to weather or other concerns. Works in consultation with Physical Plant and Business Affairs to ensure that we are maximizing revenues for space and services while offering fair pricing. Has responsibility for reviewing comparable space/facilities in the community and recommending changes as appropriate.
Provides primary leadership for logistical arrangements and/or staffing internal events which emerge as ad hoc or one-time activities not associated with any lecture series of the College. Prepares and manages budgets related to scheduling and contracted events. Consults with Vice President for External Programs, Director of College Events, Dean of Student Affairs, and others, as appropriate, to address partnership/sponsorship opportunities involving student organizations to support interest of community/other external agencies in being on campus.
Minimum Qualifications: Bachelor's Degree and valid driver's license required. A minimum of two years' experience in facilities management, meeting planning and/or the hospitality industry, or in instruction/administration within educational institutions. Ability to work with a wide range of campus departments. Must be able to prioritize when faced with a heavy workload and deadlines. Excellent verbal and writing skills; excellent organizational and computer skills; familiarity with budgeting. Requires flexibility to work weekends and evenings when necessary.
