Duties and Responsibilities:
* Plan, implement and promote College events, including special events, conferences and workshops. Facilitate the registration, facilities, speakers, meals, lodging, parking, audiovisual, marketing materials, agendas, and mailings for the events.
* Serve as primary liaison with internal and external constituencies (including Alumni organizations) in managing and promoting events. Continue to find ways to expand constituency base.
* Recruit and supervise staff and volunteers for the College events.
* Manage special event staff. Responsible for assigning staff and volunteer responsibilities to ensure that events run smoothly.
* Develop the annual budget for the College events, as assigned. Prepare procurement documents for event-related expenditures while staying within budget ceilings and in compliance with University policies and procedures.
* Devise assessment tools to evaluate the success of the events. Analyze results and implement changes as needed to improve future events.
* Negotiate terms and conditions of proposals and contracts for goods and services related to events while in compliance with University policies and procedures.
* Prepare, update and develop mailing lists of various constituents of the College that meets the goals of each event. Conduct research using demographics to determine guest list of events.
* Maintain a college-wide events calendar for the College.
* Assist with the overall marketing plan of the College. Create awareness of the Shidler brand with internal and external constituencies & work with others in the External Relations office to gear marketing material to target specific audiences.

Minimum Qualifications:
* Possession of a baccalaureate degree in Marketing, Travel Industry Management or related field and 3 year(s) of progressively responsible professional experience with responsibilities for public relations, managing special events, and/or conference planning; or equivalent education/training or experience.
* Considerable working knowledge of principles, practices and techniques in the area of marketing and public relations as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
* Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with area of marketing and public relations.
* Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
* Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
* Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
* Demonstrated ability to operate a personal computer and apply word processing software.
* For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
* Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
* Supervisory experience in a professional environment.
* Demonstrated ability to create, compose and edit promotional materials.
* Demonstrated ability to work on competing projects at the same time; has effective time management skills.
Desirable Qualifications:
* Creative flair and knowledge of the latest trends in the entertainment and hospitality industry.
* Experience in marketing and promotion of special events in higher education.
* Established working relationships with vendors, alumni, and/or the business community. |
